Update to Data Retention

Hello and thank you continuing to choose Advanced Reporting to be your screening provider! Advanced Reporting is committed to being a valuable partner for all your background screening needs, and part of that commitment is constantly evaluating and updating our services, policies, and practices. We are excited to announce that on July 1, 2022 we will be updating our data retention practices.

What does data retention look like after July 1, 2022?

  • Reports in the system are archived, meaning no changes can be made, after 2 years from the date of completion.
  • At the time each report is archived, encrypted PDFs of the report, report notes, authorizations and attachments are generated and saved to a unique sFTP location.
    • Clients will have access to their archive to download and save these PDFs.
    • Early archiving is available upon request.
  • Reports in the system and the stored PDFs will be purged after 5 years from the date of completion.

What does data retention look like today?

  • Reports in the system are archived, meaning no changes can be made, after 2 years from the date of completion.
  • Archived reports are maintained in the system indefinitely or per client data retention requirements or per deletion request.
    • Clients must generate PDFs on a report by report basis if they wish to maintain them in their own systems.

What does this mean for you?

  • If you have a been a client of Advanced Reporting for less than 5 years, there is no action needed at this time. 
    • If you would like to request access to your archived report site please let us know at www.advrep.com/contact.
  • For any client that has been with Advanced Reporting for longer than 5 years, all your reports completed more than 2 years ago have been archived and encrypted PDFs have been generated and saved to your company’s unique sFTP location.
    • These PDFs will remain available for you to download and save through February 2025.
    • After purging occurs on July 1, 2022, data from reports completed more than 5 years ago will no longer be included in any of your Management Reports or through the search functions within the system.
